Booking software for barbers

Walk-ins and bookings, one chair at a time.

SessionSpark runs the day for a busy barber's: the walk-in queue and the wait, booked clients in every barber's column, the card machine, the till and the cash-up. On the desk screen, on the TV in the shop, and on your clients' phones.

Made in Lincoln by BranTek. Hosted in the UK.

Walk-ins

Door to chair to till, without a clipboard.

  1. In the queue

Added at the desk with their name and what they're having, or joined from their phone before they set off.

  2. Waiting

The TV shows the queue and the wait. Ask for a barber, or have whoever's free first.

  3. Next

A chair frees up: Take next puts whoever's waited longest in it.

  4. In the chair

It's in that barber's column like any booking, so the diary always adds up.

  5. Paid

Card machine or cash, a tip for their barber, a receipt printed or emailed.

  6. Back again

Their next cut booked before they leave, or a membership so they keep coming.

What's in it

Built for a shop where half the day walks in off the street.

The walk-in queue

  • A queue at the desk: who's waiting, what for, who they've asked for, and how long they've waited.
  • The wait, worked out from who's in, who's busy until when and the bookings still to come.
  • Take next on a free chair, or serve someone out of turn.
  • A screen for the TV: who's in each chair, who's next and the wait. First names only.
  • Join from their phone: the wait on your booking page and website, and their place kept up to date.

Bookings and your team

  • A column for every barber, by day, week or list, with walk-ins and bookings side by side.
  • Online booking any time, with confirmations and reminders that send themselves.
  • Their day on their phone, and WhatsApp buttons for "running late".
  • Each barber's own prices, holidays and absence, and teams.
  • Chair renters in the same diary, with their money kept apart and their rent worked out.

At the till

  • Card machines: the amount goes from the booking to a Stripe or SumUp reader, tips included.
  • Receipt printer and cash drawer that print and open by themselves.
  • Quick sale for a tub of wax over the counter: scan it, take the money, done.
  • Cash up: count the till note by note, see if you're over or short, and what to bank.
  • F keys for the pages you use most, so the desk never reaches for the mouse.

Memberships

Regulars who pay every month, whether they come in or not.

  • Your plans, your way: so many cuts a month, as many as they like, or money off every visit.
  • The services you choose: cuts only, or beard trims and hot towel shaves too.
  • Paid by card every month through your own Stripe account, straight into your bank.
  • Join from a link you text them, or on your booking page.
  • Used at the desk in one tap, counted against the month, with the payment in your takings the day it's paid.

No-shows

A booked chair nobody sits in is a walk-in you turned away.

  • Deposits taken by card when clients book online, paid straight into your own Stripe account and taken off the bill on the day.
  • A card on file for new clients or everyone. Nothing's taken; they agree to your policy when they book.
  • A no-show or a late cancellation? Charge your fee from the booking in one tap. Your call, never automatic.
  • Cancel in time and their deposit's refunded by itself.

Cash up

The till, counted in a minute.

  • What should be there: the float, the day's cash and cash tips, worked out for you.
  • Count each note and coin, or just the total, and see straight away if you're over or short.
  • Leave a float for tomorrow and it tells you what to bank. Tomorrow starts from it.
  • Every count kept, with who and when, so the numbers always add up.

Rent a chair

Self-employed barbers, in the same diary, with their money kept apart.

  • Their own column: booked in like anyone else, and they take walk-ins too.
  • Their takings are theirs: kept out of your takings, figures and profit.
  • Rent worked out for you: a set amount each week or month, a share of what they take, or both.
  • Their own page showing their takings and rent, so there's never an argument about the numbers.

Retail

Wax, oils and beard balm, sold and stocked.

  • Scan to sell, on a visit or over the counter, and it comes off the shelf. It won't sell what isn't there.
  • New product? Scan it: the barcode's looked up for you, and the background taken off its photo.
  • Ordering, sorted: fill in what's low from each supplier, email the order, and book the delivery in.
  • An online shop on your booking page. Clients pay by card, or pick up and pay at their next cut.

Takings and analysis

Know how the shop's really doing.

  • Week, month or year, against the one before: takings, cuts, average bill, tips and new clients.
  • By barber and by service: who takes what, and what earns most.
  • Your busiest days and hours on a heat map, for rotas and offers.
  • Where products sell, on visits, over the counter or online, and which suppliers' lines earn their shelf space.

Expenses

Every receipt kept. Your profit, always clear.

What the shop pays out sits next to what it takes in, so you can see what you've actually made. Only owners can see it.

  • Snap the receipt on your phone as you pay, or upload a bill as a PDF. It's kept with the cost, so there's no shoebox to lose.
  • Monthly bills add themselves: rent, insurance, software and the rest, on the day they're due.
  • Profit for the tax year, 6 April to 5 April: takings in, costs out, and where the money went by category. VAT noted where the receipt shows it.
  • One download for your accountant: a spreadsheet of every cost, a summary, and all the receipts, in a single zip.

Your brand

Your shop, not ours.

  • Colours from your logo: upload it and SessionSpark picks out your colours. Tweak them if you like.
  • Everywhere clients look: your booking page, your shop, forms and every email, all in your colours and heading style.
  • Always readable: colours are checked and deepened where needed, so buttons stay easy to read.
  • Your own link to share on Instagram, Facebook and Google, with a QR code for the desk.
  • Your own website: build it from ready-made sections with your photos, prices, team and opening times, booking built in. Publish when it looks right.
